Terms & Conditions


1. Booking & Payment Terms 

  • Deposit Requirements: A non-refundable deposit is required to confirm your reservation and secure current pricing. Without a deposit, prices, availability, and reservation status are subject to change. 

  • Final Payment: Full payment must be received by the specified deadline to retain your booking. Failure to pay by the deadline will result in cancellation and forfeiture of all payments made. 

  • Payment Methods: We accept all major credit cards and bank transfers. All payments must be made in full, with fees (if applicable) covered by the client. 

  • Pricing is per person and based on double occupancy. Which means each room will require 2 travelers to book

  • All travelers must book and pay deposit together and final balance for both travelers will be required for reservation to be paid in full.

  • Payments will be flexible monthly however monthly installments are required.  

  • Full Payment is required by March 15th, 2025 (NO EXCEPTIONS) 

  • All Payments are non-refundable 

2. Pricing and Price Adjustments 

  • Price Guarantee with Deposit: Prices are guaranteed only once the deposit is received. Prices and availability are subject to change until this deposit is made. 

  • Changes in Price: In the event of changes in supplier pricing, taxes, exchange rates, or other factors outside of our control, HiLevel Travel Agency reserves the right to adjust pricing as necessary. 

  • Notification: If prices increase after the deposit is made due to unforeseen reasons, we will notify clients, providing options to either pay the additional cost or cancel with a partial refund. 

3. Cancellation & Refunds 

  • Cancellation Policy: All deposits are non-refundable. If you must cancel your booking, please notify us immediately in writing. Cancellations after final payment are subject to additional charges as outlined in your booking confirmation. 

  • Refunds with Travel Insurance: Cash refunds are only available to clients who have purchased travel insurance that includes trip cancellation coverage. Without travel insurance, clients will receive credit or vouchers applicable to future travel with HiLevel  Travel Agency, which are valid for 12 months from the original travel date. After this period, credits and vouchers will expire and hold no value. Extensions beyond this validity period are not permitted. 

  • Partial Refunds & No Shows: No refunds will be given for no-shows, unused portions of travel, or voluntary changes made during the trip, regardless of insurance status. 

  • Changes to Itinerary: Any modifications requested by the client after confirmation may incur additional fees and are subject to availability. 

4. Liability and Limitations 

  • Travel Changes: HiLevel Travel Agency is not responsible for delays, changes, or cancellations beyond our control, including those caused by airlines, weather, or other unforeseeable events. 

  • Third-Party Providers: We act as a booking agent for hotels, transportation, and other services. Our agency is not liable for any injury, loss, or damage incurred through third-party services. 

5. Chargeback Prevention & Refund Policy for Disputes 

  • Authorization of Charges: By submitting payment, the client authorizes HiLevel Travel Agency to charge their card or bank for the agreed amount. Clients will receive a confirmation with details of the services included. 

  • Chargeback Policy: By signing these terms, clients agree not to pursue credit card chargebacks or payment disputes without first contacting HiLevel Travel Agency to resolve any issues. 

  • Resolution of Disputes: Clients agree to resolve all disputes directly with HiLevel Travel Agency within 30 days of travel completion. In cases of unauthorized disputes, we reserve the right to pursue legal action or charge a fee to cover dispute handling costs. 

  • Refund Procedures: Refunds, if applicable, will be issued directly through the payment method used. Processing times may vary. 

6. Client Responsibilities 

  • Passport & Visa Requirements: All clients are responsible for securing valid passports, visas, and any other entry documents required. 

  • Insurance: We strongly recommend purchasing travel insurance to cover cancellations, medical expenses, or other unforeseen circumstances. 

7. Acceptance of Terms 

  • Acknowledgment: By booking with HiLevel Travel Agency, clients acknowledge and accept these terms and conditions in full. A digital or written confirmation of these terms is binding. 

8. Name Changes & Transfers 

  • No Name Changes: Once a booking has been confirmed, the name(s) on the reservation cannot be changed. All reservations must be used by the originally booked traveler(s). 

  • Non-Transferable Bookings: Bookings and any associated credits or vouchers are non-transferable and may not be reassigned to another individual or party. All reservations are valid only for the person(s) originally booked and may not be sold, gifted, or otherwise transferred.
